Next tentatively scheduled regular Board Meeting is September 23, 2021
We did it! Our Annual meeting and holding it outdoors went without a hitch other than it was a hot and humid evening. We had a slight problem with achieving quorum on time however with the assistance of some of the members calling and posting that more members were needed we successfully achieved a quorum and the meeting commenced. 63 members in good standing were needed and we reached 71.
The budget was approved, the lot rent will increase $7 per month beginning December 1, 2021 which will bring it to $503 per month. You will be receiving a notice 60 days prior to the increase going into effect. The loan for the electrical upgrades and some failed leach fields were approved. The 2 rules amendments were approved and the elections ballots were tallied.
The five Board of Directors positions for the 2021 – 2023 term are as follows: President- gayle pezzo Secretary – Denise Stoddert Director at Large I – Tammi Tandy Director at Large II – Harris Quesnel Director at Large III – Kathy Gibbs Welcome to the new directors and new positioning of the previous board members. Louie Lamphere & Sarah Jorgensen had chosen not to run for a board position however Louie will remain as the Maintenance Committee Chairperson. Sarah will no longer be involved in her committee work on the Volunteer/Social Committee because she is returning to full-time college focusing on the medical field. The electrical upgrade for Coventry rd and a couple of homes behind those homes on Wilmington, Brennan, and Wexford have been prepared for the upgrade to begin in the Spring. All homes that will be upgraded over the next couple of years will be based on the electrician’s assessment of those that are a priority and drawing from the loan/budget in a manner to keep it as cost-effective as possible. This will satisfy the State Electrical inspector as well as meet the urgent needs of those residents. The Inspector has reported that the aerial lines that have been hung are perfectly safe and the projection of the tentative plans on a group of homes that may be of a more urgent need are recommended.
The buzzer that goes off from time to time at the garage/workshed will be repaired as soon as possible. We are waiting for P&P to fix the second pump as soon as they are able. The buzzer will continue to go off when that pump fills however if you contact the maintenance committee chair [email protected] or [email protected] we can disable the alarm if it runs for a long period of time and is an annoyance.
The End Summer Celebration was a success, (72 attended), not as many as the last event however next year we will consider scheduling on a different day than the Fair Opening Day. Thank you to all who left cash donations. It is greatly appreciated and will be put toward future events as usual. Thank you all for attending and all the volunteers that helped make it happen and loaned the games. To those that could not attend, hope to see you next time. The food was great, games (Horseshoes, Corn Hole, and Badminton) were fun. kids had a blast and a lot of sugar. The company of friends and neighbors was awesome! Thanks to the Vol/Soc Committee for helping to build awesome community events! We are looking forward to the next one.
The Night Swim was terrific. Lights all around the fence and glow sticks made for an enchanting evening, Popcorn, music, and great neighbors made it a wonderful experience. The committee is hosting it again on the last Sunday that the pool will be open 9/5th. until 11:00 pm. Hope to see you there.
The maintenance committee continues to perform their usual weekly park clean-up of branches, brush, and trash removal as well as drain clearing, leach field, and electrical station clearing for easy access, porch, and common area repairs, equipment repair, etc. The total amount of manhours used this year was over 1022. Approx an 18K savings to the park if those man-hours were calculated at $18 per hour. We would like to thank them for all they do and recognize that independent workers that we have spoken to have said that their fee would be $25 to $35 an hour for the work y’all do. Our community recognizes and appreciates you and the time you contribute at all hours of the day and night.
The Rules Enforcement Committee has been doing the drive-thru with PMA to inspect all lots for compliance with the rules or any other issues that need to be addressed. There are a few residents that have received notices to resolve the problem however have not responded to the requests. There are some that respond and only resolve the issue temporarily. Please be mindful of the notices when you receive them. Often it is violations that are observed by the committee and PMA but it is also complaints from residents that the lot is in violation of the community rules.
The broken mailroom window has been repaired. It cost over $400 to the Coop. We are pursuing possible ways to charge the “suspect” however the video recording only lends to circumstantial but a case report has been opened and the CPD suggests that we note every complaint whether it is in writing or verbal to PMA and the Coop can then take action moving forward if any are larger toward this same individual. Do not hesitate to report any disturbance or anything that is a violation of community rules whether it be harassment or feeling threatened. This type of behavior is unacceptable in our community and needs to be communicated to PMA.
The snowplow project is moving ahead with gathering information to measure the support of the community to explore the option of our Coop becoming a Village. The information explaining what this would mean will be provided by a Municipal attorney possibly next month however our team must present an estimate of how many supporters we have in our coop to actually pursue the idea and for the attorney to attend. Becoming a Village opens up opportunities to work toward funding and grants that we are not eligible for at present. It also opens up the door to partner with the town which we are not able to at present because of our “private” status. Soon you will be receiving a request to measure whether you are in support of the idea and from there we can take steps to provide all of the details. The bottom line is it will not cost us more tax money to become a Village and can only be to our benefit to change our Private status to Public, (municipality.) We are paying property taxes that do not benefit our community but do benefit other Colchester residents. One of the advantages of becoming a Village is that set-up appropriately those taxes will benefit our community as well as provide eligibility for other resources.
